None of your tools can see the whole contact.

Your CRM knows the lead. Your EHR knows the appointment. Your phone system knows the call. The only place all three meet is an agent with four tabs open — and that's where leads slip.

The callback that never happened.

A lead asked to be called at 4 p.m. local. It's in a note, in a CRM, in someone's head. Nobody owns it, so nobody makes it.

The booking that broke sync.

The agent booked in the EHR and forgot the CRM, or the reverse. Two systems now disagree about the same person.

During onboarding our team builds the pipelines into your stack — telephony, CRM, system of record, and your data platform — and maps your clinics, locations, roles, and consent rules. You don't write a mapping doc.

Agents work one prioritized queue. Contactability is checked before every touch. Calls open in your existing phone app; bookings land in your existing system of record.

Managers see queue health, coverage, and callback outcomes. Every action is written to a hash-chained audit ledger your compliance team can read.

Agent

Claim it, check it, call it.

An agent claims a work item and holds a single-winner lease on it; nobody else can take it until it is released. Before any touch, a contactability preflight checks consent, local time, attempt caps, and channel blocks. Click-to-call opens the number in the agent's own phone app (RingCentral today). The outcome is recorded as a structured disposition, with versioned script guidance beside it the whole time.

Callbacks

A callback is a promise. Keep it.

A callback is owned by one agent and scheduled in the location's local time. It stays ineligible until its not-before time, then surfaces in the queue. If it drifts toward its SLA, the deferral is routed to a manager for approval instead of quietly slipping. Retries follow a set cadence with an attempt cap, so nobody calls a contact five times in an afternoon.

Coverage you can see, not guess.

The manager desk shows queue health for every view, who is present, and how long each agent has held a status. Overnight work is assigned in location-scoped batches that managers review before release, with fairness evidence attached to every automatic assignment. The call log lists each call with its outcome and sync state, and exports to CSV without message content.

Record

One contact. One history.

Search is permissioned by role and location, so an agent only finds contacts they are allowed to see. The record shows who owns the contact, their language, their location and state, every inquiry they have made, and the appointments visible from your system of record. Beneath it sits the full communication history: calls, SMS, and email in one timeline, read from the systems that hold them.

Every call, callback, and booking is a row in the ledger, so the numbers come from what happened, not what was reported. Speed to lead, connection rate, call duration, schedule rate, and show rate are tracked per agent, per location, and per queue view. Managers coach from the same figures agents see, and downstream impact — appointments kept — sits next to the calls that produced it.
